Privacy policy

Effective September 24, 2026.

True Vendors LLC ("True Vendors," "we") answers phone calls on behalf of small businesses and passes the details to the business owner. This policy explains what information we handle, why, and what we never do with it.

Information we collect

• Customer information: the business name, owner name, business address, email address, and the mobile numbers where alerts should go.
• Call information: for calls forwarded to us, the caller's phone number, the time and length of the call, a recording and written transcript of the call, and whatever the caller tells us, which usually includes their name, callback number, service address, and the problem they're calling about.
• Billing information: what a customer is charged and when. If a customer pays by card, card details are handled by the payment processor, not by us.
• Website information: this site doesn't use advertising or analytics trackers.

How we use it

• To answer calls and send the customer the details, by text message, email, or push notification.
• To produce the customer's own call log and monthly summary.
• To set up, support, and improve the service for that customer.
• To bill for the service and keep ordinary business records.

What we never do

Who else touches this information

We use outside service providers to run the service, including telephone carriers, a voice platform that answers and transcribes calls, hosting providers, and a payment processor. They handle this information to deliver the service, under their own agreements. Our voice platform may also use de-identified, aggregated call data to improve its own technology, under its terms. Text-message opt-in data and consent are never shared with these providers or anyone else for marketing or promotional purposes. We also disclose information when the law requires it, or to protect someone's safety.

Call recording

Every call answered by True Vendors is recorded and transcribed so the customer has an accurate record of what the caller asked for. Callers hear at the start of the call that they've reached an automated assistant and that the call is recorded.

How long we keep it

Call recordings, transcripts, and logs are kept while the customer is on the service and for a reasonable period afterward for support and billing records. A customer may ask us to delete their call records sooner. Business and tax records are kept as long as the law requires.

Security

Access to call records is limited to True Vendors personnel who need it to support the customer and to the service providers described above. No system is perfect, and we don't claim ours is.

Your choices

• Text messages: reply STOP to any message to stop them, or HELP for help. Alerts can switch to email. You can also email us.
• Access or deletion: email us and we'll tell you what we have about you and delete what we're not required to keep. We'll confirm a request is really yours before we share or delete anything.
• Callers: if you called a business we answer for and want your information removed, email us with roughly when you called. We'll delete it from our systems and tell the business about your request. That business keeps its own records under its own practices.

Children

This service is sold to businesses and isn't directed to children under 13.

Changes

If this policy changes, the new version is posted here with a new effective date. Customers get email notice of significant changes.
